MINUTES
Fairway View Condominiums communications committee
October 2, 1 PM, Mt Hood Room
1.Call to order, 1:00 PM
2. This meeting was not on zoom and not recorded
3. Approval of previous minutes
-Minutes not read, approved by mail after previous meeting
4. Old/unfinished business and updates
-website work
-updates to date have been completed
-availability to residents should be done via villager, blast, foyer flyer
-training meetings or in person training to take place in first part of 2026
-bugs/corrections will continue
5. New business
-annual meeting/workshop
-discussion on how to communicate to residents what has been completed and ask what residents would like to see done in the upcoming year. Typically handled in an optional town hall and a bylaw required annual meeting.
-concensus was a single meeting (combining the town hall and annual meeting) serving business, voting, and questions/answer session would be best attended
-first part would address: budget, election/candidate, committee reports. Residents who have not finished ballots (for budget) should bring them to the meeting so they can be completed.
-a break to count ballots and eat/chat
-a question and answer period to ask residents what they want done the next year and methods those ideas could be achieved.
-timeline will depend on when ballots and instructions are mailed out by AMS. Moste likely in November, possibly during the time set aside for the Nov. communications committee (November 6 at 3 pm). Actual time/date depend on by-law requirements for timing of ballot mailing and community meeting.
-how to advertise the meeting to maximize attendance
-advertise in all available modes (blast, vestibule notices, villager)
-stress importance of attendance, all residents have a vote, this is where planning for next year occurs
-offering food/snacks will increase attendance
-follow up
-dates must be confirmed after confirmation with AMS
-room must be available
-letter to residents (?by Tony)
-notice to everyone must be written
